RFQ checklist: what to send before sourcing starts.

A clean brief saves time. If these details are missing, the quote will be slower, noisier, and less useful. Use this list before you submit the form or send email.

Minimum brief

Send the facts that change the factory choice.

This is the smallest useful set. If you can send more, send more. If you only send one sentence, expect follow-up questions.

1. What you need

  • Product or item name
  • Material / size / function / finish
  • Reference links, photos, or competitor examples

2. How much

  • Trial quantity
  • Target annual or monthly volume
  • Expected repeat order potential

3. Where it sells

  • Target country or market
  • Compliance or certification needs
  • Packaging / labeling requirements

4. What it must cost

  • Target unit price
  • Budget ceiling if you have one
  • Any margin pressure or price sensitivity

5. When you need it

  • Deadline
  • Sample timing
  • Production timing if this is a repeat order

6. Special constraints

  • Branding or private label rules
  • Risk concerns, quality standards, or audit needs
  • Anything that should never be assumed

Good brief example

“Need 1,000 units of stainless steel kitchen tool, 18cm length, CE needed for EU sale, target FOB $1.80, sample in 2 weeks, repeat order likely if QC passes.”

Why it matters

A thin brief creates weak quotes.

Too vague

Factories guess. You get generic quotes, later revisions, and more back-and-forth.

Specific enough

Factories can price the real work. Quotes become comparable and faster to decide on.
